Arcanium Med Technologies LLC ("Arcanium Med Technologies LLC," "we," "our," or "us") operates Arcanium Med, an independent educational technology platform designed to help medical students organize academic schedules, track course performance, review exam report data, and use study-planning tools. This Privacy Policy explains how we collect, use, store, protect, and disclose information when you access or use our website, platform, tools, dashboards, calendar features, grade tracking tools, Exam Tracker, Professor Intel, modules, question tools, or related services.
By creating an account, accessing the website, importing academic data, uploading or parsing an exam report, submitting feedback, or otherwise using Arcanium Med, you acknowledge that you have read and understood this Privacy Policy.
Arcanium Med is currently a beta-stage platform. Features may change, improve, break, be removed, or be modified over time. This Privacy Policy may also be updated as the platform develops.
1. Important Summary
Arcanium Med Technologies LLC collects and stores information necessary to provide personalized academic tools through Arcanium Med. This may include account information, workspace profile information, imported calendar data, grade tracker entries, parsed Exam Tracker report data, professor feedback, and app usage-related data.
Arcanium Med is not affiliated with, endorsed by, sponsored by, or officially connected to American University of the Caribbean School of Medicine, Canvas, ExamSoft, NBME, AMBOSS, UWorld, or any other third-party educational or testing platform, unless explicitly stated otherwise.
Arcanium Med is not an official school record system. Users are responsible for verifying all academic deadlines, grades, exam requirements, and school policies through official school platforms.
2. Information We Collect
2.1 Account Information
When you create an account, we may collect:
- Email address
- User account ID
- Authentication-related information
- Account creation date
- Login/session information
- Profile row associated with your account
Authentication is currently powered by Supabase. Supabase provides authentication, database, and backend infrastructure services. Supabase states that its privacy notice explains how personal information is collected, used, and disclosed in connection with its services.
2.2 Workspace/Profile Information
When you create or update a workspace profile, we may collect information such as:
- Name or display name
- Study level
- Current course or module
- Current academic block
- Course/module start timing
- Lab cohort or group, if provided
- Preferences used to personalize the dashboard, calendar, study planning, or learning tools
This information is used to personalize your experience and help the app organize your academic workflow.
2.3 Calendar Data
If you import a Canvas calendar link, upload an .ics calendar file, or create manual calendar events, Arcanium Med may store:
- Calendar event titles
- Event dates and times
- Event descriptions
- Locations, if included
- Course/module labels
- Event categories such as lecture, lab, OLM, quiz, exam, final, review, or assignment
- Imported calendar source metadata
- Manual events you create
- Calendar display preferences
- Planner settings
- Assessment bank data derived from your calendar
- Content-pass or pre-exam planner data
Imported calendar data is used to help you view upcoming academic events, organize study planning, and power dashboard reminders.
You should not import calendars containing private, unrelated, or highly sensitive personal information unless you are comfortable storing that information in your Arcanium Med account.
2.4 Grade Tracker Data
If you use the Grade Tracker or Grade Pilot tools, we may collect and store:
- Course or module names
- Assessment names
- Assessment weights
- Scores you enter
- Exam or quiz dates
- Pass-checker calculations
- Saved grade projections
- Grade tracker snapshots
- Date suggestions associated with imported assessments
Grade Tracker calculations are estimates based on user-provided inputs. Arcanium Med does not guarantee the accuracy of any grade projection, pass checker, or score requirement calculation. Users must verify official grades and course requirements through official school systems.
2.5 Exam Tracker Data
If you upload or parse an ExamSoft-style "Strengths and Improvement Opportunities" report, Arcanium Med may collect and store parsed report data, including:
- Report name
- File size metadata
- Upload timestamp
- Extraction status
- Parse status
- Parsed exam metadata
- Score information
- Class statistics, if present in the report
- Learning objective performance
- Missed question summaries
- Weakness summaries
- Preview text or extracted text necessary for report display and analysis
- Saved report history
- Active report selection
- Section visibility/collapse preferences
- Score visibility preferences
Original uploaded PDF files are not currently stored by Arcanium Med. The platform stores parsed report data and related metadata so your Exam Tracker history can sync across devices. If this changes in the future, we will update this Privacy Policy and provide appropriate notice or controls.
Exam Tracker is an educational organization tool. It is not an official academic record, not a grade appeal tool, and not a guarantee of future exam performance.
2.6 Professor Intel and Feedback Data
If you submit Professor Intel feedback, ratings, comments, votes, or related input, we may collect and store:
- Professor identifier
- Display name you choose
- Star rating
- Semester/year
- Module or course labels
- Written feedback
- Votes or usefulness signals
- Comments or replies
- Your user account ID associated with the submission
- Timestamps
Professor feedback may be visible to other users depending on the feature design. Your account ID may be retained internally for moderation, abuse prevention, deletion requests, and platform integrity.
You agree not to submit defamatory, harassing, discriminatory, threatening, obscene, unlawful, or knowingly false content. Feedback should be constructive, academic, and focused on the learning experience.
2.7 Study Planning and Usage Data
We may collect study-planning data such as:
- Saved study plans
- Completed items
- Study timer data, if enabled
- Dashboard preferences
- Content pass progress
- Module progress
- Practice question progress, if available
- Feature usage state such as completed onboarding tours or dismissed prompts
Some of this data may be stored locally in your browser, in Supabase, or both, depending on the feature.
2.8 Local Storage and Browser Storage
Arcanium Med may use browser storage technologies such as localStorage, sessionStorage, or similar browser-based storage to keep the app responsive and preserve settings.
Examples may include:
- Workspace setup status
- Local fallback copies of saved data
- Onboarding/tour completion state
- Calendar state
- Grade tracker state
- Exam tracker state
- UI preferences
- Temporary session state
If you use the app while logged out, some data may remain only on that device/browser. If you clear browser storage, use a different browser, or use a different device, locally stored data may not be available.
2.9 Technical and Device Information
We may automatically receive limited technical information, such as:
- Browser type
- Device type
- Approximate region or network information
- Referring page
- App errors
- Performance or debugging information
- Security-related logs
- IP address or request metadata processed by hosting/backend providers
This information may be processed by third-party infrastructure providers such as Vercel and Supabase.
Vercel provides deployment and hosting infrastructure for web applications, including global delivery and related platform services.
3. How We Use Information
We use collected information to:
- Create and manage user accounts
- Authenticate users
- Save user-specific app data
- Sync calendar, grade, exam, and dashboard data across sessions
- Personalize the workspace experience
- Provide dashboard summaries
- Generate or display study recommendations
- Preserve user settings
- Display saved Exam Tracker reports
- Display and moderate Professor Intel feedback

We may also use aggregated or de-identified information to understand feature usage, improve product design, or prioritize development. Aggregated or de-identified data does not identify a specific user.
4. How We Store Information
Arcanium Med currently uses Supabase for backend services, including authentication and database storage. Supabase provides backend infrastructure and states that it has security and compliance practices, including SOC 2-related information for its platform.
Arcanium Med currently uses Vercel for website hosting and deployment.
User-specific data may be stored in:
- Supabase authentication records
- Supabase database tables
- Browser localStorage/sessionStorage
- Hosting or infrastructure logs
- Backup or operational systems, where applicable
We do not currently store original uploaded Exam Tracker PDF files. Parsed report data may still contain sensitive academic information derived from the PDF.
5. Admin Access and Support Review
As the platform owner/operator, Arcanium Med Technologies LLC may have administrative access to backend database records for legitimate operational purposes, including:
- Debugging user-reported issues
- Fixing broken data states
- Investigating abuse
- Moderating Professor Intel submissions
- Responding to deletion or support requests
- Maintaining platform integrity
- Improving feature reliability
This means that while app access is designed so users see only their own account data, authorized administrators may be able to view backend records in Supabase.
We will not intentionally access individual academic data except for legitimate operational, support, moderation, security, or troubleshooting purposes.
Users should not upload or enter information they are unwilling to have stored in their account or reviewed for support/security purposes if needed.
6. Information Sharing
We do not sell your personal information.
We may share or process information with service providers that help Arcanium Med Technologies LLC operate Arcanium Med, including:
- Supabase for authentication and database services
- Vercel for hosting and deployment
- Email/authentication providers involved in account access
- Analytics, monitoring, or error-reporting tools if added in the future
- Legal, compliance, or safety advisors if needed
We may disclose information if required to comply with law, legal process, or government request; protect rights, safety, or security; investigate fraud, abuse, or misuse; enforce policies; respond to user support or deletion requests; or protect Arcanium Med, users, or third parties.
If Arcanium Med Technologies LLC is involved in a merger, acquisition, sale, financing, restructuring, or transfer of assets, user information may be transferred as part of that transaction, subject to applicable law and this Privacy Policy.
7. Professor Feedback Visibility
Professor Intel feedback may be visible to other users depending on how the feature is implemented.
Displayed feedback may include display name, rating, semester/year, module/course labels, written feedback, votes, or comments.
Internal records may also associate feedback with the submitting user account for moderation and safety purposes.
Do not submit feedback that includes private information about yourself, classmates, faculty, patients, or third parties. Do not submit confidential school materials, copyrighted exam content, or private communications.
8. Exam Tracker Privacy
Exam Tracker is designed to help users organize and review academic performance feedback.
Currently:
- Original uploaded PDFs are not stored.
- Parsed report data may be stored.
- Extracted text or preview text may be stored if needed for report display and analysis.
- Report data is associated with the user's account.
- Users should be able to delete saved reports through the app where supported.
- Admin access may exist for support/debugging purposes.
Users should not upload reports they do not have permission to use. Users should not upload exam content, copyrighted materials, or confidential documents beyond the intended strengths/opportunities report.
9. Data Security
We use reasonable administrative, technical, and organizational measures intended to protect user information.
However, no website, database, network, or transmission method is perfectly secure. We cannot guarantee absolute security.
Users are responsible for keeping login credentials confidential, using strong passwords, logging out on shared devices, avoiding use on untrusted computers, not uploading unnecessary sensitive data, and reporting suspected unauthorized access.
If we become aware of a security issue affecting user data, we will take reasonable steps to investigate and respond.
10. Data Retention
We retain user information as long as reasonably necessary to provide the service, maintain user accounts, preserve saved academic tools, comply with legal obligations, resolve disputes, enforce policies, maintain security, and support backups and operational integrity.
You may request deletion of certain data or your account by contacting us at the contact information below.
Some information may remain in backups, logs, or archival systems for a limited period after deletion, where technically or legally necessary.
11. User Choices and Controls
Depending on the feature, users may be able to edit workspace profile information, delete Exam Tracker reports, edit or delete certain saved grade/calendar data, remove imported calendars, delete or modify Professor Intel submissions where supported, log out, clear local browser storage, request account deletion, or request data deletion.
Clearing browser storage may remove local fallback data but may not delete backend data associated with your account.

12. Children's Privacy
Arcanium Med is intended for medical students and adult users. It is not directed to children under 13.
We do not knowingly collect personal information from children under 13. If we learn that we have collected personal information from a child under 13 without appropriate consent, we will take reasonable steps to delete it.
The FTC explains that COPPA imposes requirements on operators of websites or online services directed to children under 13, and on operators with actual knowledge that they are collecting personal information from children under 13.
13. Educational and Academic Disclaimer
Arcanium Med is an educational organization and study-support platform. It is not an official academic record system.
The platform may include grade projections, study suggestions, exam report summaries, professor feedback, calendar organization, module resources, question practice tools, and dashboard recommendations.
These tools are provided for educational support only. They may contain errors, incomplete information, outdated information, user-generated content, or incorrect assumptions.
Users remain responsible for verifying official grades, exam dates, attendance requirements, course policies, school announcements, graduation requirements, academic performance status, official learning objectives, exam rules, and institutional policies.
Arcanium Med does not guarantee academic success, passing scores, exam performance, or admission/advancement outcomes.
14. Third-Party Services and Links
Arcanium Med may reference, link to, or integrate with third-party platforms such as Canvas, Supabase, Vercel, ExamSoft-style reports, or other educational resources.
We do not control third-party platforms and are not responsible for their privacy practices, terms, content, or security.
Users should review the privacy policies and terms of any third-party services they use.
15. Beta Features
Arcanium Med is currently in beta.
Beta features may change without notice, contain bugs, produce incomplete results, save data imperfectly, display incorrect calculations, fail to sync properly, be removed or redesigned, require re-uploading or re-entering data, or not work on all devices or browsers.
Users should not rely exclusively on Arcanium Med for official academic planning or recordkeeping.
16. Payment and Future Paid Features
Arcanium Med may offer paid features in the future.
If payment features are added, we may use a third-party payment processor such as Stripe or another provider. Arcanium Med Technologies LLC does not currently intend to directly store full payment card numbers on its own servers. Payment processors may collect and process payment information under their own privacy policies and terms.
This Privacy Policy will be updated if payment processing or paid subscriptions are added.
17. Changes to This Privacy Policy
We may update this Privacy Policy from time to time.
When we update it, we may change the "Last Updated" date above. Continued use of Arcanium Med after changes means you acknowledge the updated Privacy Policy.
For material changes, we may provide additional notice through the website, account area, email, or another reasonable method.
